Manage Email Address Changes with Entra ID

You can change an Entra ID user’s email address in either Entra ID or in Newforma Konekt. A change in either system triggers a notification email to the hub owner and hub admins, with instructions for completing the corresponding update in the other system.

Newforma Konekt uses a user’s email address (UPN) as their SSO identifier. If the email address in Entra ID and the email address in Konekt become out of sync, a user logging in through SSO could end up with a duplicate Konekt account.

How It Works

Best Practice: Changing the Email Address in Entra ID

If possible, always change a user’s email address in Entra ID before it’s changed in Newforma Konekt. This preserves the user’s Unique Microsoft Identifier (UMI) in Newforma Konekt, so the user can continue logging in through SSO without interruption.

If you change an email address in Newforma Konekt before the corresponding change is made in Entra ID, the user’s UMI is lost. The next SSO login creates a duplicate Konekt account instead of matching the user to their existing UMI.

Not Recommended: Changing the Email Address in Newforma Konekt

You cannot edit an Entra ID user’s email address in Newforma Konekt. If you need to make this change, contact Newforma Customer Support to have the email address updated directly in Newforma Konekt.

Notification Emails

You will receive a notification email whenever a user’s email address is changed. If the email addresses of multiple users are changed within the same hour, all changes will be included in a single notification.

A user’s email address is not automatically updated in Newforma Konekt when it is changed in Entra ID. You will receive an email notification informing you of the change, but you must contact Newforma Customer Support to have the email address updated in Newforma Konekt.

Expected Behaviors

Scenario 1: Email Changed in Entra ID

Newforma Konekt detects when a user’s email address is updated in the connected Microsoft tenant and the two systems fall out of sync.

  • You will receive a notification email containing the user’s name, their current email address in Konekt, and their updated email address in Entra ID.
  • The Hub Owner must contact Newforma Customer Support to update the user’s email address in Newforma Konekt.
  • If the update isn’t made, the user can still log in through SSO, but Newforma Konekt will continue to send notifications (action items, RFI responses, submittal updates, and other project communications) to their old email address.

Scenario 2: Email Changed in Newforma Konekt

Newforma Customer Support can update an Entra ID user’s email address in Newforma Konekt first, resulting in an email address that no longer matches the user’s email address in Entra ID.

  • You will receive a notification email containing the user’s name, their updated email address in Newforma Konekt, and their current email address in Entra ID.
  • The IT Admin must update the user’s email address in Entra ID to match the email address in Newforma Konekt.
  • Users should not attempt to log in to Newforma Konekt through SSO until the IT Admin has updated their Entra ID email addresses. Doing so will create duplicate Newforma Konekt accounts. Once their email addresses have been updated, they can sign in through SSO and re-link their existing Newforma Konekt accounts.
