BETA: Field Reports Overview
The Field Reports activity center is where you document site visits in the Newforma Konekt mobile app. A field report records the basics of a visit: the date, start and end times, location, weather, and who attended. Each field report holds observations, which are the items you note on site, usually with images. When a field report is complete, you finalize it. Finalizing locks the field report and generates a PDF report you can download.
Field reports are available on Android and iOS only.
How Field Reports Work
A field report follows a site visit from your arrival on site to a finished PDF report.
1. Start a Field Report on Site
You start a field report when you arrive for a site visit. You enter the visit’s date, start and end times, location, and weather, and you list who’s attending. Attendees can be project members, or people outside Newforma Konekt whose names you type in. The field report is numbered automatically and starts as Draft.
2. Capture Observations
As you walk the site, you add observations to the field report. Creating an observation opens your camera, so you can add multiple photos to it.You can move from one observation to the next quickly and leave the descriptions for later.
3. Complete Observations
After the site visit, you complete each observation in the field report. You add a description, set a status, assign disciplines, flag anything urgent, and attach supporting files.
4. Review the Field Report
During review, you move the field report from Draft to In review, and then to Reviewed, as the team checks its content. Observations and attachments can still be added while the field report is under review.
5. Prepare and Finalize the PDF Report
You convert your field report into a PDF file. To finalize the field report, you put the observations in the order you want them to appear, and you choose which photos to include for each observation. You then select a layout for the report before generating it as a PDF. Once the PDF file is generated, the field report and its observations can no longer be edited.
6. Download the PDF Report
You can download the PDF file to your device.
Permissions and Prerequisites
Prerequisites to access the Field Reports activity center:
- Newforma Konekt mobile app on Android or iOS.
- CA Track.
Once in the Field Reports activity center, what you can do in a field report depends on your project role:
- Admins and Editors can create, edit, and finalize field reports.
- Readers can view field reports and download PDF reports and attachments.
- Reviewers see and have access only to field reports where they’re listed as an attendee. In those field reports, they can add and edit observations and add attachments. They can’t create field reports, edit field report details, or finalize.
For a full breakdown by role, see the permission structure.
Expected Behaviors
- Field reports can’t be deleted. Observations, observation images, and attachments can be deleted. Field reports currently can’t.
- Observation numbers count across the whole project. An observation number combines the field report number and a project-wide count. For example, Observation 21-10 is the 10th observation in the project, and it belongs to Field report #21. Field report numbers can be edited. Observation numbers can’t.
- Field reports don’t send notifications. Nobody is notified when they’re added as an author or attendee, or when a field report’s status changes.
- Attendees need access to the hub to work on a field report. Attendees whose names you type in manually aren’t hub users, so they can’t open the field report.
- Only finalized field reports in PDF format and attachments can be downloaded. The report’s observations and uploaded photos can’t be downloaded.
- PDF reports stay on your device. A PDF report can’t be shared with project members directly through Newforma Konekt.
