Set up the Procore connector for RFIs and Submittals

Get started with the Newforma Konekt Procore connector by getting the “Newforma Konekt” app installed by an administrator in Procore and configuring its settings in Newforma Konekt (see Newforma for Procore: Getting Started Tutorial).

Connect Newforma Konekt with Procore (Issues)

Procore connector is a project-based feature, this means that the integration is not shown on the Integration page, under the General Menu, similar to previous integrations and add-ins.

To connect to Procore, follow the instructions below or watch our short video.

Navigate to the Project Settings, under the Project Menu, and to the tab Integrations.

Connecting to Procore the first time will link the user to their Procore account credentials. And an option to comment on the issue when creating an RFI. This option will attach a hyperlink to the RFI in Procore for easy reference.

Transferring Existing RFIs and Submittals from Procore to Newforma Konekt

Understanding the Process:

After successfully connecting your Procore and Newforma Konekt projects, your open existing RFIs and Submittals assigned to a ball-in court user in Procore will be transferred to Newforma Konekt in batches. This process is designed to ensure smooth data migration while adhering to Procore’s API rate limits.

Key Points:

  • Batch Transfers: To optimize performance and avoid exceeding Procore’s API limits, the transfer process occurs in batches.
  • Transfer Frequency: Every 10 minutes, a new batch of RFIs and Submittals will be transferred from Procore to Newforma Konekt.

Expected Transfer Time:

The total time required to transfer all existing open RFIs, and Submittals will depend on the number of items to be transferred and the rate at which Procore allows API calls. However, given the batching and API rate limits, you can expect the transfer to take several hours or even days for large projects (For example, thousands of open items).

Monitoring the Transfer:

  • Newforma Konekt Progress: Keep an eye on the Newforma Konekt project to monitor the progress of the transfer. New RFIs and Submittals should appear in your project as they are transferred.

Important Considerations:

  • Large Projects: For very large projects with thousands of open RFIs and Submittals when the project is initially created, the transfer process may take significantly longer.
  • Data Integrity: The transfer process is designed to ensure data integrity. However, if you encounter any issues or discrepancies, please contact Konekt support for assistance.
  • Future Transfers: Once the initial transfer is complete, new RFIs and Submittals created in Procore will be synchronized with Newforma Konekt instantly when real-time syncing is enabled and 10 minutes without.
