You can forward a supplemental instruction to other project team members for review and move it through the workflow.

The following workflow actions are available depending on the status of the SI and your role in the project. Not all steps have to be used.

You can also edit an existing SI to update information, view workflow activities, and download attachments (see Edit an SI).

Forward an SI for review

You can forward an SI to other project team members. Several people may need to respond to an SI.

  1. In Newforma Konekt, open the desired project.
  2. In the main menu, under Project menu, select Change management.
  3. In the Change management page, find the SI you want to forward for review.
    You can use the filter and sort options to find your SI more easily. You can also search for SIs using the search bar.
  4. Click the SI to open it and then click the three dots > Forward for review
  5. From the dialog box that opens, complete the information as needed. Required fields are indicated by an asterisk (*).
    Field Description
    Review due date Select a date from the calendar for the SI review to be due. By default, the date is 3 days from the current date.
    To* Select the project team member(s) to forward the SI to (reviewer).
    Cc Select other project team members to forward the SI to.
    Remarks Enter any comments about the SI.
  6. To include any additional files with the SI, click Browse or drag and drop the desired files.
  7. When you’re done, click Forward. The status will change to In review and an email notification will be sent to users in the To and Cc fields.

When an SI has been reviewed by all forwarded parties, the status will change to Reviewed.

Submit a review response for an SI

You can submit a review response to a supplemental instruction that has been forwarded for review.

  1. In the Changement management page, find the SI you want to respond to. If you have a Reviewer role, you will only see the SIs that have been forwarded to you. You can use the search, filter, and sort options to find your SI more easily.
  2. Click the SI to open it and then click the three dots > Submit response.
  3. From the dialog box that opens, complete the information as needed. Required fields are indicated by an asterisk (*).
    Field Description
    Action* Select one of the following options from the drop-down list.
    • Approved
    • Reviewed as noted
    • No exceptions
    • Rejected
    • Revise and resubmit
    • Reviewed
    From* Select the project team member who responded to the SI. By default, your name is entered in this field.
    To* Select the project team member(s) that will be responsible for reviewing the response.
    Cc Select other project team members to submit the SI response to. You can also enter an email addresses in this field.
    Response Enter your response.
  4. To include any additional files with the SI, click Browse or drag and drop the desired files.
  5. When you’re done, click Submit. An email notification will be sent to users in the To and Cc fields. 

Send an SI to the contractor

You can send a supplemental instruction to the contractor. An SI is automatically closed when you sent it to the contractor.

  1. In the Change management page, find the SI you want to send. You can use the search, filter, and sort options to find your SI more easily
  2. Click the SI to open it and then click the three dots > Send.
  3. From the dialog box that opens, complete the information as needed. Required fields are indicated by an asterisk (*).
    Field Description
    From* Select the project team member who sent the SI. By default, it is assigned to you.
    To* Select the project team member(s) you want to send the SI to. You can also enter an email addresses in this field.
    Cc Select other project team members to send the SI to. You can also enter an email addresses in this field.
    Purpose* Select the purpose of the SI from the drop-down list.
    • For information only
    • For construction
    Remarks Enter any comments about the SI.
  4. To include any additional files with the SI, click Browse or drag and drop the desired files.
  5. When you’re done, click Send. The status will change to Closed and an email notification will be sent to users in the To and Cc fields.

Close an SI manually (project admins only)

As a project admin, you can close a supplemental instruction by sending it to the contractor or by closing it manually. To do this, proceed as follows:

  1. In the Change management page, find the SI you want to close. You can use the search, filter, and sort options to find your SI more easily.
  2. Click the SI to open it and then click the three dots > Close.
  3. From the dialog box that opens, complete the information as needed. Required fields are indicated by an asterisk (*).
    Field Description
    Action* Select one of the following options from the drop-down list.
    • Void
    • No action taken
    Remarks Enter any comments about the SI.
  4. To include any additional files with the SI, click Browse or drag and drop the desired files.
  5. When you’re done, click Close. The status will change to Closed.

Delete an SI (project admins only)

As a project admin, you can delete a supplemental instruction.

  1. In the Change Management page, find the SI you want to delete. You can use the search, filter, and sort options to find your SI more easily.
  2. Click the SI to open it and then click the three dots > Delete.
  3. In the dialog box that opens, click Delete to confirm the deletion.

Reopen an SI (project admins only)

As a project admin, you can reopen a closed supplemental instruction if you missed an information or need to add attachments.

  1. In the Change Management page, use the filters and/or perform a search to select the closed SI you want to reopen.
  2. Click the SI to open it and then click the three dots > Reopen SI.
  3. From the dialog box that opens, complete the information as needed. Required fields are indicated by an asterisk (*).
    Field Description
    Reopen date* Select a date from the calendar the SI was reopened. By default, the reopen date is set to the current date.
    Due date Select a date from the calendar for the SI review to be due.
    From* Select the project team member who reopened the SI. By default, it is assigned to you.
    To* Select the project team member(s) that will be responsible for responding to the SI.
    Remarks Enter any comments about the SI. For example, you can specify the reason for reopening the SI.
  4. To include any additional files with the SI, click Browse or drag and drop the desired files.
  5. When you’re done, click Reopen. The status will change to Open and an email notification will be sent to users in the To field.
