Manage the RFI Workflow on Mobile

Use Newforma Konekt Mobile to forward RFIs that have been logged from the web platform or transfered from Procore and move them through the workflow.

The following workflow actions are available depending on the status of the RFI and your role in the project. Not all steps have to be used.

You can also edit a logged RFI to update information, view workflow activities, and download attachments (see Edit a Logged RFI on Mobile).

Receive a pending incoming RFI from Procore

You can receive an RFI that has been sent to you from Procore so that it can be reviewed by others.

  1. Open the Newforma Konekt app on you mobile device and then select the desired method to sign in. The application will display in English or French, depending on the system language you set in your device.
  2. Then, select a hub and a project.
  3. Tap the RFI_Icon_Default_Mobile.svg icon at the bottom of the screen to access the RFI list.
  4. From the pending RFI list, find the RFI that needs to be received.
    You can use the filter and sort options to find your RFI more easily. You can also search for RFIs using the search bar.
  5. Tap the RFI to open it and then tap Receive at the bottom of the screen. You can also tap the three dots at the top right > Receive.
  6. From the Receive RFI form, modify the information and add attachments as needed.
  7. When you’re done, tap Receive RFI. Once the item has been received, the status changes to Open and your team can complete their standard workflow.

Forward an RFI for review

You can forward an RFI to other project team members. Several people may need to respond to an RFI before an official response can be provided.

  1. From the open or forwarded RFI list, find the RFI you want to forward for review.
  2. Tap the RFI to open it and then tap Forward at the bottom of the screen. You can also tap the three dots at the top right > Forward.
  3. From the Forward RFI form, select the review due date, and select the user(s) to forward the RFI to. You can also select other project team members to forward the RFI to in the CC field.
  4. If you have any remarks, enter them in the Remarks field.
  5. To attach pictures or files to the RFI, tap Add attachment. You can take a picture or select a picture or file.
  6. When you’re done, tap Forward RFI. The RFI will be moved to forwarded RFI list.

When an RFI has been reviewed by all forwarded parties, a green check RFI_Checkmark.svg will appear in front of the subject of the RFI in the open RFI list.

Submit a review response for an RFI

You can submit a review response to an RFI that has been forwarded for review.

  1. From the forwarded RFI list, find the RFI you want to respond to. If you have a Reviewer role, you will only see the RFIs that have been forwarded to you.
  2. Tap the RFI to open it and then tap Submit response at the bottom of the screen. You can also tap the three dots at the top right > Submit response.
  3. From the Submit response form, select an action, and select the user(s) to notify. You can also select other project team members to notify in the CC field.
  4. If you have a response to submit, enter it in the Response field.
  5. To attach pictures or files to the RFI, tap Add attachment. You can take a picture or select a picture or file.
  6. When you’re done, tap Submit response.

Submit an official response for an RFI

You submit an official response to an RFI for which your responsible. An RFI is automatically closed when you respond to the RFI’s author.

  1. From the open or forwarded RFI list, find the RFI you want to respond to.
  2. Tap the RFI to open it and then tap Submit response at the bottom of the screen > Submit official response. You can also tap the three dots at the top right > Submit official response.
  3. From the form that opens, select an action, and select the user(s) to notify. You can also enter one or more email addresses to inform other contacts.
  4. If you have a response to submit, enter it in the Response field.
  5. To attach pictures or files to the RFI, tap Add attachment. You can take a picture or select a picture or file.
  6. When you’re done, tap Submit official response.

Close an RFI manually

You can close an RFI by submitting an official response or by closing it manually. To do this, proceed as follows:

  1. From the open or forwarded RFI list, find the RFI you want to close.
  2. Tap the RFI to open it and then tap the three dots at the top right > Close.
  3. From the Close RFI form, select an action.
  4. If you have any remarks, enter them in the Remarks field.
  5. To attach pictures or files to the RFI, tap Add attachment. You can take a picture or select a picture or file.
  6. When you’re done, tap Close RFI.

Delete an RFI (project admins only)

As a project admin, you can delete an RFI.

  1. Find the RFI you want to delete.
  2. Tap the RFI to open it and then tap the three dots at the top right> Delete.
  3. Tap Delete to confirm the deletion.
