Proposal requests (PR) are documents that the designer issues to a contractor to solicit an itemized quote for changes to a contract’s schedule/time.

If a change to the contract documents that involve a substantial change to the contract sum or contract time is required, a lead design consultant issues a PR to a contractor to solicit an itemized quote for changes to a contract’s schedule/time.

PR workflow

The following diagram shows an overview of the SI workflow. Not all steps have to be used. 

  1. The architect can create a proposal request if they originate them, or log a received request if it was sent to them.
  2. Optionally, the proposal request can be forwarded for review to other project team members (reviewers).
  3. The reviewer(s) review to the proposal request. The PR author can also submit a response on behalf of another person.
  4. When the review process is complete, the proposal request can be sent to the contractor, who will respond with a proposal.
  5. Upon receiving the proposal, the design team reviews and advises the owner. If the proposal does not require any reviews or updates, a signature is requested.
  6. The architect can accept or reject the proposal. This can also be done by the contractor or owner.
  7. Sending the signed proposal closes the proposal request. If needed, the PR can be reopened.
