Updating user permissions and re-syncing Procore items

There is an unhandled error with the Procore connector where the BIC users role is updated to be a reader or reviewer and can no longer create items being sent from Procore.

This help article will help users take the steps needed to update their role on the project to be able to continue using the Procore connector, and give instructions on how to have the contractor edit the item to help sync back to Newforma Konekt.

How to restore Procore RFIs and submittals syncing with Newforma Konekt

This typically happens when the Project Role for the Ball In Court user in Newforma Konekt no longer allows that user to create RFI and Submittal items. Once that role is corrected, the affected item(s) will require a small update in Procore to trigger a sync to Newforma Konekt.

Step 1: Update the project role in Newforma Konekt

The Ball In Court user must have permission to create and manage items.

Required project role

  • Admin (required to create and manage the Procore connector)

How to update the role

  1. Sign in to Newforma Konekt
  2. Open the affected Project
  3. Go to Teams and Users
  4. Locate the Ball In Court user
  5. Change their role to Admin

Step 2: Sync the affected item in Procore

After the project role is updated, the General Contractor or Procore RFI/Submittal Manager must make a small change to the affected item(s) in Procore to trigger a re-sync with the Newforma Konekt project.

The contractor should edit the Title (or Subject) of the RFI or Submittal and save it.

This is the preferred method because it:

  • Is the easiest and least impactful update for the RFI/Submittal manager to make
  • Does not affect workflows, responses, or review content
  • Does not interfere with the Newforma Konekt connector
  • Reliably registers the item as updated in Procore

How the contractor updates the title

  1. Open the RFI or Submittal in Procore
  2. Click Edit
  3. Make a small change to the Title/Subject
    • For example: add a “–” or “.” to the item, or take this opportunity to correct any formatting formatting
  4. Click Save

If the title cannot be edited

In some projects, the title may be locked due to permissions or workflow state.

If this happens, the contractor can instead:

  • Add a new user from the Distribution list
  • Save the item

This also triggers a valid item update without impacting workflows or connector‑managed fields.
